The Società Dante Alighieri Tokyo (hereinafter referred to as “the Association”) may collect personal information in the course of providing its services (hereinafter referred to as “the Services”). In recognition of the importance of protecting personal information, the Association is committed to handling such data appropriately and strives to ensure that all users can make use of the Services with confidence and peace of mind by implementing the following measures.

  • The Association shall establish a framework for the protection of personal information, define internal regulations regarding the appropriate collection, use, and provision of such information, and ensure strict compliance with them.
  • The Association shall implement reasonable security measures to mitigate risks associated with personal information—such as unauthorized access, loss, or destruction—and shall maintain the security and accuracy of such information.
  • The Association shall remain fully aware of and comply with applicable laws and regulations relating to the protection of personal information.
  • The Association shall make ongoing efforts to improve and enhance its initiatives for the proper protection of personal information.

 

Purpose of Use of Personal Information

The personal information provided to the Association shall be used solely for the following purposes and shall not be used for any other purposes:

  1. Sending emails and email newsletters
  2. Responding to inquiries
  3. Sending product and service information via email or direct mail
  4. Conducting surveys on service usage and related matters
  5. Sales and marketing activities

In cases where the Association specifies an individual purpose at the time of collecting personal information, such information will be used within the scope of that specified purpose and the above-listed purposes.

 

Provision of Personal Information to Third Parties

As a general rule, the Association shall not disclose or provide personal information to third parties. However, personal information may be provided to third parties in the following cases, after careful consideration of necessity:

  1. When the individual’s consent has been obtained
  2. When it is necessary to protect life, body, or property, and it is difficult to obtain the individual’s consent
  3. When it is particularly necessary to improve public health or promote the sound upbringing of children, and it is difficult to obtain the individual’s consent
  4. When it is necessary to cooperate with a government agency, local authority, or its agent in executing duties as stipulated by law, and obtaining the individual’s consent may hinder the execution of such duties
  5. When the Association is obligated by law to disclose or provide personal information
  6. When third parties (such as advertisers or delivery companies) involved in the provision of the Services request the information necessary for providing their respective services
  7. When personal information is provided to a subcontractor for the purpose of performing business operations related to the Association’s services, and such provision is limited to the extent necessary for the execution of said operations
  8. When the Association transfers or divides its business, and personal information is transferred to the party receiving the business or the newly established entity
  9. When the Association reasonably determines that provision of personal information is necessary for the delivery of the Services

 

Outsourcing the Handling of Personal Information

The Association may outsource part of its operations—such as the provision of services, processing and delivery of emails or mail, shipment arrangements, and the preparation of statistical data—to external contractors. In such cases, handling of personal information may be entrusted to the contractors

When doing so, the Association shall carefully select contractors that are deemed capable of managing personal information appropriately. Furthermore, the Association shall enter into a written agreement with each contractor, specifying responsibilities, information management methods, measures related to re-outsourcing, liability for damages, and other necessary matters to prevent data breaches.

Contractors are contractually obligated to strictly manage personal information and to maintain confidentiality. They are prohibited from handling personal information beyond the scope designated by the Association.

 

Voluntary Nature of Providing Personal Information

The Association may collect personal information necessary for providing the Services.

While users are not required to respond to all requested items, failure to provide certain items may prevent the Association from offering part or all of the Services.

 

Inquiries Regarding Purpose of Use, Disclosure, Correction, or Suspension of Use

  1. Individuals may request notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties (hereinafter collectively referred to as “Disclosure, etc.”) of their personal information.
  2. Upon receiving such a request or inquiry, the Association shall confirm the identity of the requester using personally identifiable information. The Association shall bear no responsibility for any damages incurred as a result of a third party unlawfully obtaining personally identifiable information and impersonating the individual.
  3. Once the identity of the requester is verified, the Association shall respond promptly within a reasonable period and scope. Please note that in cases where a certain period has passed since the acquisition of personal information, it may have already been deleted. In such cases, requests for Disclosure, etc. shall not be applicable.
